I take your privacy seriously and want you to feel confident that any personal information you share with me is handled carefully and respectfully.

This privacy notice explains what information I collect, how I use it, how it is stored, and your rights regarding your personal information.

I am committed to maintaining confidentiality and handling your information in line with UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who I am

I am Sara Hunt, an Acupuncturist based in Oxford and Thame.

I am responsible for the personal information I collect and process as part of providing acupuncture treatment. I act as the data controller for this information.

What information I collect

When you contact me or attend acupuncture treatment, I may collect:

• your name and contact details

• your date of birth

• information about your health, medical history and current symptoms

• information about your lifestyle, wellbeing, sleep, digestion and other areas relevant to your treatment

• treatment notes, including information about your progress and responses to treatment

• appointment and payment information

Some of this information is classed as health data, which is considered sensitive personal information under UK GDPR. I only collect and use this information where it is necessary to provide safe and appropriate care.

How I use your information

I use your information to:

• provide acupuncture treatment safely and appropriately

• understand your health as a whole and tailor treatment to you

• keep accurate clinical records

• communicate with you about appointments and your care

• If you choose to opt in, I may send up to four seasonal newsletters each year containing wellbeing tips, lifestyle advice, practice updates and, from time to time, special offers. These emails are sent only with your consent. You can withdraw your consent at any time by clicking the unsubscribe link in any email or by contacting me directly.

• meet my professional, legal and insurance requirements

I will only use your information for purposes connected with your care or where I am legally required to do so.

Confidentiality

Your information is treated as confidential. I do not share your personal information with other people or organisations unless:

• you have given your consent

• it is necessary for your care and you have agreed to this

• I am legally required to do so

If I need to discuss your care with another healthcare professional, I will normally seek your permission first.

How your information is stored

Your information is stored securely in both electronic and paper formats. Initial health information may be collected through a secure online form, and electronic information is protected with appropriate security measures and restricted access.

Clinical notes are handwritten and stored securely in a locked filing cabinet when not in use. I maintain confidentiality and take appropriate steps to protect your information from loss, misuse, unauthorised access or disclosure.

How long I keep your information

I keep clinical records for 7 years, in line with BAcC requirements.

After this time, records are securely deleted or destroyed.

Sharing information with third parties

I do not sell, rent or share your personal information for marketing purposes.

Some organisations may process information on my behalf, such as:

• Stripe (for payment processing)

Where third-party services are used, I ensure appropriate safeguards are in place.

Your rights

You have rights regarding your personal information, including the right to:

• request access to the information I hold about you

• ask for inaccurate information to be corrected

• request deletion of your information where appropriate

• object to certain uses of your information

• withdraw consent where processing is based on consent
